Planner questions
Straight answers before you book AV
These are the questions planners ask us most, answered the way we would answer them on a call.
Can one AV company run our program in every city?
Yes. That is what RTMP is built for. We have produced events in 274 venues across 145 cities and 41 states, and last year we produced more than 250 meetings. You brief us once, and we carry your room plan, cues, gear list and standards from city to city instead of starting over with a new local vendor each time.
Will the same people be at every event?
Every event has an RTMP person on it who knows your show and your company. We never broker your event out to a local crew who has never seen it. The full crew can change with the city and the size of the room, but your standards do not.
Do we have to use the hotel's in-house AV?
Often you do not. Many hotels and conference centers allow an outside AV team, though some add fees for it in the event contract. Send us the AV section of your contract before you sign and we will tell you plainly what it means for your budget.
We run the same meeting many times a year. Is that a fit?
It is the best fit. Our clients run anywhere from two to two hundred events a year: sales meetings, regional trainings, roadshows, user conferences, leadership programs and association calendars. More than 60 percent of the events in our records took place at venues where RTMP has produced more than once.
Can you stream or record the meeting?
Yes. We plan the stream as part of the show, not as a camera in the back of the room. A remote audience needs its own audio, its own sightlines and its own backup plan, and we build for both audiences at once.
Can we just rent equipment?
Yes. We do rental only, delivered and set, or fully staffed. The right choice depends on the venue, the schedule, the distance, and whether you need equipment or full support.
What do you need from us to quote?
Send what you have. The more of this we have, the faster the quote:
- Company and contact information
- Event city, venue, and date
- Number of rooms and expected audience
- General session, breakout, training, or roadshow format
- Audio, video, lighting, recording, streaming, or rental needs
- Any run-of-show, floor plan, or technical data you already have
Where do you work?
Nationwide. We work most often in Chicago, Nashville, Atlanta and Washington, D.C., and we go wherever your calendar goes. Our venue list shows every property where we have produced an event.
